Card assignment Keybadge

Definition:

Here you can read, design and print cards for employees or frequent visitors. You can define cards with high numbers by using card templates and then generate cards easily including the necessary settings and area access rights. With only a few exceptions card data can be changed later.

Furthermore you can generate a list of the cards and the corresponding personal record data.

Assign cards

Definition:

This menu item has a mainly combining and executing function. (Therefore it is not possible to save an "assign card record" here.)

Here already existing data are combined and possibly completed (if you wish). Then a card with a card record can be generated by clicking " Create ". The card can be used by the card holder immediately (without further steps of operation) - the card might not be valid yet however.

The combined data are: an existing card template, the personal data of the card holder and possibly the employee data. If the card is a barcode card, you can print it out here. If there has been determined a card layout, you can let a badgeprinter place a print onto a neutral card. If the card already has a pre-programmed card number and this number has to be assigned to the card holder, the system will ask you to present the card to the read-in reader.

Function:

Tabsheets "Person" and "Photo"

In the tab sheet "person" you can

  • load a personal record (the data of the record are displayed in the entry fields)

  • create a new personal record

  • take over the default personal record from the card template

In the tab sheet "photo" you can enter data in following data fields:

  • if you have chosen a camera in the card template, the buttons “play and stop” , and "Take picture" will appear on this tabsheet - you therefore can take a picture of an employee or visitor and integrate it in the card record

  • selection, whether the picture has to be retrieved from the iProtect™ Aurora server or from the network

  • a field for retrieving the file

  • the desired picture section by using the yellow frame in the display field of the retrieved picture. You can work on this picture with right mouse click.

The further steps after the direct retrieval of a photo depend on the camera, which has been selected in the card template.

iProtect™ Aurora can load images of the following formats:

  • JPG

  • GIF

  • BMP

  • PNG

The file must not exceed a size of 2MB!

Tabsheet "Create card record"

In the tab sheet "create card record" you can enter data in following data fields:

  • Starting and end date of the validity (which options appear and what you can enter, depends on the validity settings of the card template)

  • card coding (see system user settings or reader settings. For cards with bar code gilt "Barcode IEP/KP".)

  • card number You also can retrieve the next available card number, if this has been determined so in the system user settings.)

  • "Security PIN code": personal identification number for switching the alarm system on or off (repeat once)

  • Card quantity: number of cards which have to be assigned to the person (if >1, the following numbers after the first assigned card number will automatically assigned)

  • license plate number of the vehicle

  • the printer, where the cards have to be generated

  • Visited person (appears, if in the card template behind visitor "present" or "announced" has been chosen)

Create

With the button " Create " you can create the card record, start printing out the barcode card or place a print on a neutral card.

With the button “Preview/create”, first a proview will be shown in a new browser window.


The following parameters will be displayed:

  • name of the selected card template

  • the person group, which has been selected in the card template

  • an overview list of the visited persons

Tabsheet "Other cards":

On the tab sheet "Other cards" you can see, which card numbers and card coding have been assigned to the selected person. You also can delete assigned card numbers. For deleting a card number select a table line and click on "delete".

Card template

Definition:
With the card template you determine the characteristics and entry options of the cards, which are based on this template. Therefore you do not have to enter these characteristics for each single card.

Function:
The data, which you enter here, will be used as default data when assigning cards, but can be changed. You also can enter default persons, e.g. "guest", if personal data are not relevant for the cards you would like to create.
You can assign the card template to the card groups of the cards you would like to create. You also can assign the card template to the blocks (quota settings), which have to be valid for the created cards.

You can enter data in the following data fields:

  • name of the record

  • the authorisation group, which is allowed to read this record (if this field is left empty, this record can be read by any employee)

  • depending on the system user settings the code and the abbreviation

  • the type (access cards, bar code cards or "none")

  • the card layout

If type 'barcode card' has been chosen:

  • print: printing at the pc or printing at a specified node.

You can enter data in following fields in the tab sheet "validity" (here you determine, which setting has to appear when you assign the card):

  • "unlimited", if the cards have to be valid without time limit

  • starting time, (also see card validity):

    • entry of a set date

    • certain day of the week

    • today

    • entry when assigning the card

If 'entry of a set date' has been chosen:

  • starting date

If 'certain day of the week' has been chosen:

  • day

    • End time, (also see card validity):

    • entry of a set date

    • number of days, that the cards have to stay valid

    • today

    • entry when assigning the card

If 'entry of a set date' has been chosen:

  • end date

If 'number of days' has been chosen:

  • the number of days

  • number of days, that the cards stay valid after the first use

For barcode cards the validity time can not be changed later, because it is integrated in the bar code.

You can enter data in following fields in the tab sheet "person":

  • the option:

    • "Load personal record" (you can subsequently select an existing personal record at "person"; the personal entry fields will be filled automatically)

    • no personal record (the personal entry fields stay empty)

  • "Person": you can retrieve here an existing personal record and take over all data from it (click on button)

  • name/prefix/first name

  • address/postal code/city

  • department

  • the kind of visitor: "present visitor", "announced visitor" and cards, which are not made for visitors

  • the indication option, that the cards have to be made for employees (in this case another tab sheet will appear)

  • the maximum number of vehicles this person is allowed to park at the same time

  • in the dialogue definition determined fields for persons

Maximum of cards

  • the maximum of cards held by the card holder, with reference to parking areas

  • the choice, whether the number of cards for access areas has to be limited or unlimited

Tab sheet "employee":

You can enter data in the following data fields:

  • The language of the employee

You can enter data in following fields in the tab sheet "rights":

  • the selection option for determining, that card numbers have to be read with a card reader

  • the desired card coding (this can be changed, when you assign the card)

  • the block class

  • the card use

  • the area where the card holder is when receiving the card (not obligatory; empty field means: system registers area at first presenting to a reader)

Biometic

  • the selection option, what kind of Card number presentation is being used for Biometric

Anti-Passback

  • the selection option not to apply anti-passback ("APB") (use this option only by exception, e.g. for security personel)

  • "APB tolerance level": the maximum of tolerated attempts of multiple entry with these created cards (at readers, which are in the "tolerant" antipassback mode)

Timed Anti-Passback

  • the selection option not to apply "time anti-passback" (use this option only by exception, e.g. for security personel)

  • the selection option "set time APB", that at creation of the card the time antipassback directly has to become valid

Other

  • the selection option, that with the creation of the card a personal identification number (PIN) can be entered for switching the alarm system on and off

  • the selection option of the way to handle cards which are running out of the time they are valid at the terminal SP75 (the system automatically will select the option determined in the system user settings when you make a new card):

    • keep card (card will not be returned when being presented to a terminal with SP75, e.g. at the exit of the controlled area)

    • keep card on last 2 days (card will not be returned on the last 2 days of being valid when being presented to a terminal with SP75)

    • keep card on last day (card will not be returned on the last day of being valid when being presented to a terminal with SP75)

    • return card (card will always be returned when being presented to a terminal with SP75)

  • the selection option, that this card is linked to a license plate number

  • the selection option, what kind of calamity priority is being used

You can enter data in following fields in the tab sheet "bar code-cards":

  • 10 text lines (you can use here the "place holders" mentioned in the following.)

  • the character size ("small", "normal" or "Large")

  • the character weight ("Normal" or "Bold")

Place holder in the text:

@A cash point acceptance number (entry at creation)

@B number of the block (quota settings) (entry at creation)

the display of the date and time can be different from the setting in Windows®.

Card layout

Definition:

You can determine the layout of the created cards here.

Function:

The layout can be determined in two sections:

  • the entry area with 5 tab sheets

  • the layout area (white field)

Layout area:

After right-click on the white field a pop-up will appear with the options:

  • text entry (A text frame will appear. A tab sheet "text settings" opens.)

  • add image (A image frame will appear. A tab sheet "image settings" opens.)

  • creating a New page (e.g. for the backside of the cards)

  • deleting a page

  • next page/last page

The frames can be set onto the desired place by clicking on the frame. By clicking on the displayed blocks (quota settings) you can enlarge the frame or make it smaller. Another right-click opens a pop-up with options for changing the frame:

  • deleting the frame

  • creating a text frame

  • creating an image

  • Rotate the frame clockwise by 90°

  • Flip the frame vertically

  • Move the frame to the background (behind the other elements)

  • Move the frame to the front (in front of the other elements)

  • Move forward (one image level higher)

  • Move back (one image level lower)

  • New page

  • Delete page

Entry window:

You can enter data in following fields in the tab sheet "General":

  • name of the card layout

  • the selection option, that the card will be used by a visitor

  • the authorization group, which is allowed to read this record (if this field is left empty, this record can be read by any employee)

  • the selection option, that the page numbers and the total number of pages have to be displayed

  • the selection option, that variations of letter types can be simulated (e.g. italic)

  • the selection option, that an example of the barcode will be displayed

You can enter data in following fields in the tab sheet "Canvas":

  • the selection option, that the measurements have to be set at this place, deviating from the 3 predefined measurements

  • the desired width in millimeters (here the value set in system user settings will be shown)

  • the desired height in millimeters (here the value set in system user settings will be shown)

  • the format (will be displayed, if "size as follows" has not been checked)

Check, whether the printer settings correspond with the format. Confirm with "Create".

You can enter data in following fields in the tab sheet "Grid":

  • the selection option, that on the canvas a grid has to appear

  • two entry fields for the measurements of the grid blocks

  • the entry option, that the ratio of the grid blocks has to be kept when the measurements are changed

  • the selection option, that objects in the layout can only be moved to the edges of the grid

Confirm the grid block measurements with "Draw grid".

You can enter data in following fields in the tab sheet "Image settings":

  • the selection option, that when changing the frame measurements the width height-ratio (scale) of the image has to be kept

  • the selection option, that the image is a person specific picture (e.g. picture of identification card)

  • the entry option, that a default photo format has to be selected (19,9 x 24,9millimetres)

  • the entry option, that the selected frame has to be in the original scale

  • the selection, whether an image has to be loaded from the network or from the server

  • the file, which has to be loaded, if "network" has been selected

  • the saved pictures, if "server" has been selected

The following facts will be displayed:

  • whether the selected image frame corresponds with the default photo format,

  • whether the original ratio of width and height has been kept

Retrieve the desired images with "Load".

iProtect™ Aurora can load images of the following formats:

  • JPG

  • GIF

  • BMP

  • PNG

The file must not exceed a size of 2MB!

You can enter data in following fields in the tab sheet "Text settings":

  • the text type

    • free text entry

    • text variables

    • predefined

  • "value": the desired text or the text variables (selection with click on the arrow symbol)

  • Fore- and background colour (selectable with the pallet button)

If text type 'text variables' has been chosen:

  • the table name:

    • card data

    • visitor data

    • card coding data

    • department data

    • employee data

    • personal data

  • the name of the data column in the selected table

If text type 'predefined' has been chosen

  • the function of the text field:

    • selection field

    • free selection field

    • free text field

    • text field with complete personal name

  • the character type

  • the character size and character thickness

  • the concision

  • the selection option, that in free text fields and free selection fields a colon should appear for entered values and for the field name

  • the selection option for italic and underlined text

You can enter data in following fields in the tab sheet "Position":

  • the distance to the left side of the card in millimetres

  • the distance to the upper side of the card in millimetres

  • the object width

  • the object height

You can enter data in following fields in the tab sheet "Preview":

  • the person, whose data have to be used for the example card

  • the card number of the person

  • the visited person for this example

  • the printer

  • the desired picture quality

  • the name of the printer, on which the card has to be printed (obligatory, if "automatic printing" has been checked and if the cards are not barcode cards)

  • the card orientation (profile or landscape)

  • the selection option "automatic printing" (if empty, the preview will be displayed as pdf-file and can be printed later. For barcode cards the printer will be selected, which has been determined in system user settings.)

You can view the preview using the button "preview".
