hanging card definitions

It is common for people to lose their tag or card, or even that it is stolen. It should therefore be possible to invalidate cards so that unwanted people cannot enter your building. In iProtect there is a way you don’t have to make a complete new card with new access rights. This chapter discusses the various possibilities that one has in changing the definitions of cards.


Replacing a card

People who have lost their card must be given a spare card and cards that are broken must be replaced. It is important when giving a replacement card or a spare card that this new card is given the same rights as the original card. Thanks to the replace card function, it is not necessary to re-enter all the data related to access.

To use the replacement function, you must have the number of the old card and the number of a new card. The latter is not a problem. This should be on the card you are going to hand out or you can choose for yourself. You can look up the old card number via Access| Card.

  • Look up the card number to be replaced via Access | Card.

  • For Search Term, enter the person name and press Search

  • Click the Card with the Person Name and press the right mouse key.

  • Select Replace Card

  • Please enter the card number you want.

Note: If multiple Card encodings are used, compare the top one with the bottom card encoding

  • Then press the button “Replace”

When you fill in a new card number that has already been assigned to a person, you will receive a notification about it.

You can then decide for yourself what to do. Click OK, then the data that now belongs to this card number will be replaced by the new one. If you choose Cancel you will need to fill in another new card number.

  • The new card has been given the same validity and rights as the old card.

  • The old card has automatically become invalid.

By searching under Access | Card is the most quickly handled method. You can of course also search  under General | Person. If you have found the person, you can click on the plus by the Person Name.  You will see which card number(s) the person has and can see or change it directly.

Tip: the card that is temporarily given to the person can be used as a card use "Temporary card". You will keep an eye on who has received a temporary card.


Make Card (un)valid

If a person reports that they have lost their card, you must invalidate this card as soon as possible. This is to prevent abuse. In addition, of course, you must give this person a spare card. If the card is found, it is possible to make it valid again. Paragraph 5.2.2 detreats how to do this.


Invalidating Lost Pass

Usually people do not know the card number of their lost card, especially if it has an RCN number, which often consists of more than four digits. However, by searching the personal name, you can also access his or her card details

  • Open the Access menu | Card

  • Enter the first letters of the searched person's last name, and then click the Search

  • Select the card number containing the personal data.

  • Invalidate the card by clicking in the Valid The black block disappears as a sign that the card is no longer valid.

  • Save the change.

If you are under Access| Card and selects the person, you will see that the number of the invalid card is still listed here. That's right, because the card is still linked to this person. This is useful when the card is recovered. Until then, or until the card is definitively taken from the person, the card gets no more access.


Make recovered pass valid

Often lost cards are recovered. All you have to do is make the invalid card valid again. The card was still linked to the person, also the access rights in itself had not changed. The card that is valid again can be used immediately and gives access as before.

Making a card valid is a matter of clicking the Valid box at  Card

  • Open the menu Access | Card.

  • Enter the card number you found.

  • Click the Search

  • Select the card number with the person.

  • Mark the Valid box and save the change.

The card is valid again and gives access. If you had given a reserve card, you should request it back and disconnect it from the personal record. How to take a card will be learned in paragraph below.


Taking a card

Imagine an employee leaving the service. He must hand in his card on departure. The system must also "know" that the card is no longer that persons card. The link between the card and person must be broken. Please note that the card will remain in place. The card is even valid. But a valid card that is not assigned to a person will never get access, even if they end up in the wrong hands.

  • Click Access | Card

  • Press the Search button. You will now see all the existing cards. Cards "with and cards "without" persons. Select any person with a card.

  • In person details, choose a blank line.

  • The card is no longer assigned to the person. However, the card still exists.

  • Check this through Access | Card...


Removing old card records

Broken or not used cards must be removed from the database. This is also advisable for cards that have been missing for a long time. Passes, which are printed with, for example, a passport photo, cannot be passed on to another person when the card holder is decommissioned. These passes should be removed immediately. This chapter covers not only how to delete a card, but also how to delete all invalid records at once.

In previous paragraphs, you've learned how to limit the validity of a card to a certain period. Limited card validity is particularly used when you have employees with temporary employment contracts. After that certain period, the card is set on invalid. The same goes for people. Temporary workers and employees leave, hand in their cards, but remain in the database.

Because unused data unwittingly makes the database slow, it is necessary to delete old cards and persons once in a while. You can do this with the Delete Card option from Access | Cards Menu.

  • Open the menu Access | Card

Search category "Validity period"

In the Start and End Date fields, fill in the date between which the cards you want to delete become invalid. If you do not enter a date in the first field, you will search for all records whose validity date has expired. So, select the records on the end date of validity.

The Search button retrieves all records from the database that meet the selection.

In the field below, the records that have become invalid appear between the specified data. To select several cards, which need to be deleted, hold down the CTRL key and click the cards with the mouse.

Right-click the cards and select Delete the selected cards will be deleted. Exactly what needs to be removed can be indicated in the Delete field

Please note:
It is not possible to delete personal records that are in use elsewhere in the database, such as a person to whom a system user is associated, such as the system administrator. If you try this, you will receive an error message.

Search category "Unlimited"

The Search button retrieves all records from the database that meet the selection. In the field below, the records that have become invalid appear between the specified data.

Search category "Last Event Date"

In the Start and End Date fields, fill in the date between which the cards have a final event. If you don't enter a date in the first field, you'll be looking for all records whose last event date is lower than the specified date. So, select the records on the last event date. The Search button retrieves all records from the database that meet the selection.

In the field below, the records that have become invalid appear between the specified data.


What to do with AntiPassBack violations

People sometimes break the antipassback rules. An example of this is if someone books in for the computer room but walks out with a colleague and therefore does not book out. For the database, this person is still in the computer room and therefore has nowhere to go in before booking out at the computer room.

The administrator can reset the area of the card in such a case. Here's how to do this:

  • Open the menu Access | Card. Here you can search by card number, but also by personal name. Select the correct card.

  • Click the arrow key behind the Access Area: field, and then choose "Blanco."

  • Save the changes, and the next time the card is presented to a reader, the system does not know where the card is located and access cannot be denied due to an antipassback violation. So, the card will have access. The next time the system "knows" where the card is located.

  • No labels
